Basic Excel Training To Manage Small Business Finances

Many home businesses and cottage industries fail purely due to the lack of the business owner’s ability to manage their finances efficiently. But accounting software programs are very expensive and can be too complicated for the everyday small business owner to use. Microsoft however offers a solution that is user friendly and can be operated by just about anyone with a little basic Excel training.

Learning the fundamentals of Excel will give you the ability to create spreadsheets to help keep track of all the finances that are going in and out of your business in the same way that accounting software programs work. However, you will first need to construct templates that will take care of all the accounting requirements for your business model. One of the most important functions within any business is invoicing and there are a number of templates that are available and you can learn to use with basic Excel training.

Each invoicing template is designed to fulfil specific needs. You first need to identify what needs your business has and how these correspond to the different available invoices. For example, invoices for a business that provides services will look very different to an invoice where products are actually sold to clients and consumers.

Each invoice can be linked to an account monitoring or tracking worksheet. This spreadsheet will allow invoice numbers, amounts and other relevant data to be entered automatically every time you create a new invoice for a customer. This will help you manage what accounts are still outstanding and which of your business clients have paid their accounts. However this type of linking invoices to spreadsheets is complicated and may not be covered in most types of basic Excel training courses.

Basic Excel Courses for Business Use

Another important aspect of any business is keeping track of expenses. A simple expenditure worksheet template is available in Excel that can be expounded on to meet specific requirements. It is not recommended that you change or alter any existing Excel templates unless you have been on a basic or even intermediate Excel training course. An advanced Excel training course will allow you to create your own templates from scratch so that you do not have to use or alter existing Excel templates.

Spreadsheets to for balance sheets as well as income and expenditure are also available in Excel. Once again it is possible to link these sheets to your existing invoicing control and expenditure management spreadsheets. However, it is important to realise that the more links you create between spreadsheets the more likely errors are to occur in your later worksheets. How to detect and rectify errors in a spreadsheet is also not covered in the most basic of Excel training courses.

A benefit that you will get from using Excel to manage your small business accounts is that you will also have access to the data analyses and comparison side of this software program. While some of the fundamentals of data and statistical analyses are covered in basic Excel training an advanced course is recommended to get the most out of this part of Excel.

The best solution is to begin with a basic Excel training course and use it until you are comfortable with all the material that was covered on the course. You can then enrol on an intermediate course which will in turn set you up to learn the more advanced and complex features of Excel. Remember that practice makes perfect and the more you use the Excel program to take care of your accounting and financial management needs, the more likely your small business will be to succeed.
