One benefit of the Excel accounting package that cannot be ignored is the ability that it offers accountants to work together. Functions such as financial analysis and reviewing cash-flow spreadsheets often require that more than one person must have access to a worksheet and be able to work on it. This is to ensure that duplication of efforts and possible mistakes can be minimized. The problem with allowing others to enter information directly into your workbook is however, that you risk formulas being changed in your workbook.

What solution does the Excel accounting software offer you?
The software offers the shared workbook option which makes it possible for several users on a network to work in the workbook at the same time. Changes can be made and the user can also see what changes have been made by the other participants. This solution still offers adequate protection of formulas and prevents unauthorized changes. The changes made can be tracked with ease. You will still have control over the work and will have the deciding power on who can access and to what level a user can access or make changes.
How to create and share the workbook with Excel accounting software
Create the workbook as you would have done when unshared, complete with all the formulas and changes etc. Once you have done all that is needed including Pivot Tables and reports then you are ready to share the workbook. The next step is to save the workbook to the specific network location where other users will have access to it. Click on Tools on the menu bar, then Share Workbook. Now click on Editing and then select “allow changes by more than one user at the same time” checkbox. Select the Advanced option and under Track changes you will then select the Keep change history for…” and then will type the correct total of days. Select OK and then also click OK when asked to save. Select the location on the network to save to and you have a shared workbook.
