Preparing your emails to copied to Outlook/ Gmail
Start with your list of email addresses in Excel. Making sure you have all your data including the email address in columns. it’s the first name, last name, and employee number.
In the adjacent column, type the desired format, which is how you want the email to appear in outlook/Gmail. In this case it’s Hamilton Burger 26801<hamilton@company.com> Note all the information you want to include, such as the first name, surname and employee number, should come first. This is followed by the email address which should be enclosed in angle brackets. You only need to do this once.
Using Flash Fill to Automate the Formatting Process
Flash Fill is an incredibly handy feature in Excel that automatically fills your data when it senses a pattern.
Go to the Data tab on the Excel ribbon and click on Flash Fill. You can also use the shortcut Ctrl + E.
Excel will replicate the format for all entries based on your example. It looks at what you typed and matches it with the adjacent columns.
Copy and Pasting the Formatted Emails to Your Email Client
Now that your emails are formatted correctly, you can copy them to your email client.
Select all the formatted email addresses. Copy them (Ctrl + C).
Paste them (Ctrl + V) into the To field of your email client, such as Outlook or Gmail.
Ensure each address is on a separate line to make them ready for sending.
